REANNZ is a Crown-owned membership organisation dedicated to empowering Aotearoa’s research and education sector. Our members include universities, Public Research Organisations, polytechnics and government agencies.
Since 2007, REANNZ has operated and supported a specialist high-performance digital network. From July 2025, following the integration of the New Zealand e-Science Infrastructure (NeSI), REANNZ now provides a national hub for eResearch, offering advanced network services, high-performance computing, cloud, AI and data analytics platforms, alongside researcher-focused support.
We are a small, highly skilled and collaborative organisation delivering practical, high-impact solutions for researchers and the wider sector.
The Role
The Executive Assistant to the CEO and Board is a senior, trusted support role that enables the Chief Executive, Board and Senior Leadership Team to operate effectively and with impact.
This role goes beyond traditional administration. You will act as a central coordination point, trusted partner and proactive problem-solver, ensuring executive operations run smoothly and leadership time is focused on what matters most. You will work closely with the CEO daily and play a key role in supporting Board and governance processes.
This role can be full-time or part-time (0.8 FTE), offering flexibility for the right candidate.
What you will be doing
Providing high-level executive support to the CEO, including diary management, correspondence, workflow and travel
Coordinating SLT and Board meetings, including agendas, papers, minutes and follow-up actions
Supporting governance processes through accurate minute taking and high-quality documentation
Managing domestic and international travel arrangements for the CEO, SLT and Board
Tracking actions and commitments to ensure timely follow-through across the leadership team
Acting as a first point of contact for internal and external stakeholders, managing communications with discretion and professionalism
Supporting executive reporting cycles and business planning activities
Providing general office and business support, including expenses, office coordination and facilities liaison
Identifying opportunities to improve executive processes and ways of working
What we are looking for
Essential
Demonstrated experience as an Executive Assistant or senior Personal Assistant supporting a CEO, Senior Leadership Team or Board
Strong organisational skills with the ability to manage multiple priorities and competing deadlines
A proactive, anticipatory approach and confidence to operate independently
Excellent communication skills and strong attention to detail
High levels of integrity, discretion and sound judgement
Warm, professional and approachable communication style
Preferred
Experience supporting Boards or governance bodies
Understanding of the public sector or machinery of government
Experience supporting organisational change or project coordination
Confidence engaging with senior stakeholders and external partners
